Assign aides to a learner

Add aides to a learner's care team or take them off it, and what an aide gains or loses with the assignment.

A learner's care team is the list of aides who work with them. Being on it is what gives an aide access: the learner appears in the aide's list in the web and mobile app, and the aide can read the learner's plan, run their sessions and schedule their own sessions with them. You add aides to the team, or take them off, on the learner's page.

Before you start

  • You work in the web app. Open Learners, select the learner and stay on the Basic Info tab.
  • The Assigned BCBA card above the aides shows the learner's BCBA. Only the org owner can change it.
  • Only active aides can be added. An aide who has not accepted their invitation yet cannot be picked.

Add an aide

  1. In the Assigned Aides card, open Select an Aide. It lists the clinic's active aides who are not on the team yet, by name. With nobody left to add, it is greyed out.
  2. Pick one aide and select Assign Aide.

The message Aide assigned successfully appears, the page reloads and the aide appears in the card with their email. Add one aide at a time.

The list shows names only. If two aides share a name, check the email in the card after adding.

Remove an aide

Select the X next to the aide in the card (Unassign). There is no confirmation: the aide is taken off at once, the message Aide unassigned successfully appears and the page reloads.

What happens next

  • An added aide sees the learner in their list, in the web and mobile app, the next time it loads. The learner must be active.
  • A removed aide loses access to the learner, their plan and their sessions. Sessions already booked with that aide are not cancelled or reassigned, and they drop out of the aide's lists. Reschedule them with another aide: see Reschedule or edit a session.
  • An aide whose account the org owner deactivated stays on the team until you remove them.
  • Aides can see the Assigned Aides card read only, with the names and emails of their teammates.
  • Nobody is notified of the change, and no history is kept.
