Manage team members

Find a staff member, correct their name, deactivate someone who has left, and cancel an invitation that was never accepted.

Applies toOrg Owner

The Team page is your clinic's staff list: every org owner, BCBA and aide, with their role and status. From it you correct a name, deactivate someone who leaves the clinic so they can no longer sign in, and cancel an invitation that was sent to the wrong address or never accepted. Deactivating keeps the person's work in ABACare.

Before you start

  • You work in the web app, as an org owner. Only org owners have Team in their menu and can make these changes.
  • While your clinic's access is suspended, Team takes you to Billing instead. See Pay an invoice and restore access.

Find a team member

  1. Select Team in the top menu. Team Members lists everyone on your staff, including pending invitations and deactivated members, 10 per page.
  2. Narrow the list if you need to:
    • type in Search by name or email...;
    • pick a role in Filter by role;
    • pick Active, Inactive, Pending Invitation or Show All in the status filter.
  3. Select a row or a name to open the person's profile. Basic data shows their name, email, role and status, read only. For an aide, the Permissions tab holds their in-session permissions: see Grant in-session permissions to an aide.

The icons at the end of each row are the actions below. Parents are not on this page: their accounts are managed from each learner's page.

Correct a name

  1. Select the pencil on the person's row (Edit).
  2. Edit Team opens with their First Name and Last Name. Correct them.
  3. Select Save Changes.
The Edit Team window with a staff member's first and last name and the greyed-out Role field
Correct a staff member's name.

The message User updated successfully appears. An empty name shows First name is required or Last name is required, and nothing is saved.

The Role field is greyed out: a role cannot be changed after the invitation. If someone needs a different role, ask ABACare for help through Help at the bottom of the web app: see Submit feedback or a bug report. You cannot rename yourself here either: on your own row, saving always fails with Cannot change your own role, in English.

Deactivate someone who has left

  1. Select the red X on the person's row (Delete). It shows on active members.
  2. Confirm asks Are you sure you want to deactivate followed by the person's name. Its buttons show Yes and No in English. Select Yes.

The message User deactivated successfully appears. You cannot deactivate yourself: the message Cannot deactivate your own account appears, in English.

After you deactivate them, the person can no longer sign in, and any session they have open ends within minutes. Everything they recorded stays in ABACare. Their row stays on the list with the status Inactive, and a deactivated BCBA or aide no longer takes a place in your plan.

Cancel an invitation

Do this only for an invitation that was never accepted: it went to a wrong address, expired, or should not have been sent.

  1. On the Pending Invitation row, select the red X (Cancel Invitation).
  2. Cancel Invitation asks you to confirm and says it will permanently delete the pending account. Select Yes.
The Cancel Invitation confirmation window naming the invited person, with the Yes and No buttons
Cancel a pending invitation.

The message Invitation cancelled successfully appears and the row is gone. The emailed link stops working, the place in your plan is freed, and you can invite the same address again: see Invite a staff member.

Reactivate an account

A green check (Reactivate) shows on every Inactive row. Selecting it reactivates the account at once, with no confirmation, and the message User updated successfully appears. If your plan has no room for another BCBA or aide, a message in English names the limit and nothing changes.

What happens next

  • A deactivated BCBA stays the assigned BCBA of their learners, and a deactivated aide stays on their learners' care teams, until someone changes it. See Assign a BCBA to a learner and Assign aides to a learner. Sessions booked with them are not cancelled.
  • An aide's in-session permissions are kept while they are deactivated.
  • A parent's invitation cannot be cancelled here, because parents are not on this page. If a parent's invitation expired or went to a wrong address, the BCBA cannot send it again either. Ask ABACare for help through Help at the bottom of the web app.
  • Nobody is notified of a change, and no history of it is kept.
