Pay an invoice and restore access

Find the invoice you owe, pay it by bank transfer with the right reference, and what happens to your clinic's access when an invoice goes overdue.

Applies toOrg Owner

ABACare invoices are paid by bank transfer, outside the app: there is no card or online payment. When ABACare receives your transfer, it records the payment and the invoice shows as paid. If an invoice passes its due date unpaid, your clinic's access is suspended until the payment is recorded. This guide shows where to find what you owe, how to pay it and how access comes back.

Before you start

  • You work in the web app, as the org owner. Open Settings > Billing. The mobile app has no billing screens.
  • Invoices come from two places: an upgrade you confirm on the billing page (see Change the subscription plan), and the invoice issued at the start of each billing period of a paid plan.
  • If your clinic has a plan with custom pricing arranged with ABACare, its payments are arranged with ABACare directly and no invoices show in the app.

Find the invoice to pay

After an upgrade, Invoice Pending Payment shows at the top of the billing page, with the invoice number, the Amount, the Due Date and the number of days left. Pending Payment also shows next to your plan.

The invoice issued at the start of a billing period has no banner. ABACare emails it to the clinic's org owners, in English, with the amount, the due date and the bank details. It also appears as Pending in Billing History.

To get the invoice itself, select Download Invoice in the banner, or PDF on its row in Billing History. It opens as a PDF in a new tab, with ABACare's bank details.

Pay by bank transfer

  1. In the banner, select Payment Instructions. The window shows the Payment Reference, which is the invoice number. For another invoice, the reference is its number in Billing History.
  2. Transfer the invoice amount to the bank account shown on the invoice PDF or in the email, with the invoice number as the payment reference.
  3. Select Close.

Use the invoice number as your payment reference.

The window says to use the bank details below, but it shows only the reference. The bank details are on the invoice PDF and in the emails.

Payments are usually processed within one or two business days. About five days before the due date, the org owners get one reminder email with the amount, the due date and the bank details.

An invoice is due 15 days after it is issued. Its Due Date shows in the banner and in Billing History.

If the invoice still shows Pending more than two business days after you paid, or you sent the transfer without the invoice number as reference, tell ABACare which invoice you paid, the amount and the date of the transfer. Ask for help through Help at the bottom of the web app or, while access is suspended, with Contact Support in the banner.

If access is suspended

If the due date passes and ABACare has not recorded your payment, that night the invoice becomes Overdue and your clinic's access is suspended. Every org owner gets an email about it.

While access is suspended:

  • You and your BCBAs see Subscription Suspended on every page of the web app, with the list under While suspended, you cannot:. Only the dashboard, Settings and Billing open. Any other page sends you to Billing.
  • Aides and parents see no banner, and the mobile app shows no notice. Actions the suspension blocks, such as scheduling a new session, fail with an error.
  • Nobody can use your clinic's own library.
  • Your data is kept. Contact Support opens an email to ABACare support.

On the billing page, the unpaid invoice is listed as Overdue in Billing History. Pay it by bank transfer as described above.

The plans stay available while access is suspended. Changing the plan does not pay the overdue invoice, which stays Overdue in your history.

What happens next

  • When ABACare records your payment, the invoice shows as Paid and every org owner gets a payment confirmation email, in English.
  • If access was suspended, it is restored at once. Reload the page, or sign out and back in: until then, the web app can keep showing the banner and sending you to Billing.
  • After an upgrade payment, Invoice Pending Payment and Pending Payment go away and the plans show again.
