Review, edit or regenerate AI session notes

Check the clinical session note ABACare drafts after each session, correct it by hand, or ask for a fresh draft.

Applies toBCBAOrg Owner

When an aide submits a session, or when you complete one you ran yourself, ABACare drafts a clinical note for it from the data and the notes recorded in the session. The draft is a starting point, not a finished record: read it against the session's data, correct what is wrong, and add what it missed. The note is written in your clinic's language.

Before you start

  • You work in the web app, on the session's page. To find a session, see Review and complete a submitted session.
  • The AI-Generated Summary card appears once the session is past In Progress: Submitted, Completed, Cancelled or No-Show. Org owners see and edit it the same way.
  • Each draft uses one AI credit from your clinic's allowance for the billing cycle. A draft that fails costs nothing.

Check the draft

The AI-Generated Summary card shows the note in one of these states:

The card showsWhat it meansWhat you can do
The note, with Generated and a dateA draft ready to check. Edited and a second date appear once someone changed itEdit, Regenerate
Generating AI notes...The draft is being written. The card updates by itselfWait
Failed to generate AI notesThe draft could not be writtenRetry

Read the draft next to the session's collected data, behaviors and notes further down the page. The note only restates what was recorded, so check scores, prompt levels and anything it says about behaviors.

Edit the note

  1. Select Edit. On a session that reached the AI limit, select Write Notes Manually instead.
  2. Correct the text in the editor.
  3. Select Save. It stays disabled while the note is empty.

The message AI notes saved successfully appears and the card shows the note with the Edited tag. Cancel closes the editor and throws your changes away without asking. If saving fails, Failed to save AI notes appears and the editor stays open with your text.

Only the date of the last edit is kept. There is no history of earlier versions.

Ask for a new draft

Regenerate when the session changed after the draft was written, for example after you corrected its times or data, or after the aide added a note.

  1. Select Regenerate.
  2. Read Regenerate AI Notes and confirm with Yes.
  3. The message AI notes regeneration started appears and the card shows Generating AI notes... until the new draft arrives.
Warning
The new draft replaces the note completely, including every change you made by hand. Copy anything you want to keep before you regenerate.
  • Generate AI Notes and Retry start a draft the same way, without asking first.
  • If your clinic has no credits left, an error message appears and the current note stays.
  • If the new draft fails, the card shows Failed to generate AI notes and hides the earlier text until a retry succeeds.
  • If the card keeps showing Generating AI notes... for a long time, reload the page.
  • Regenerate also shows on a Cancelled or No-Show session that has a note, but a new draft can only be made for a Submitted or Completed session.

What happens next

  • Parents never see this note. What they read is the public note you publish separately: see Publish session notes for parents. You can copy the checked note into it.
  • Aides can read the note in the mobile app, under Session Summary on the session, as soon as it is drafted, before you have checked it.
  • The note stays editable after you complete the session.
  • The note, as it stands, also feeds the progress report drafts ABACare writes for the learner.
