Deactivate or reactivate a learner
Mark a learner inactive when therapy pauses or ends, keeping all their data, and make them active again when therapy resumes.
When a learner pauses or finishes therapy, deactivate them instead of deleting anything. An inactive learner disappears from everyday lists, and aides and parents no longer see them, but their plans, sessions, data and documents stay as they are. Deactivating also frees a place in your clinic's learner count. When therapy resumes, reactivate the learner and everything is there again.
Before you start
- You work in the web app. Open Learners and select the learner.
- Deleting a learner permanently is a separate action that only the org owner has.
Deactivate a learner
- Open the menu with the three dots at the top right of the learner's page (Actions).
- Select Deactivate Learner.
- The window names the learner and explains that all historical data is preserved. Select Deactivate Learner, or Cancel to keep the learner active.
The message Learner deactivated successfully appears and an Inactive tag shows next to the learner's name.
Find an inactive learner
Inactive learners are hidden from Learners. Tick Include inactive above the list to show them, with the Inactive tag. Select the learner to open their page.
Reactivate a learner
- On the inactive learner's page, open the three-dot menu.
- Select Reactivate Learner. There is no confirmation.
The message Learner reactivated successfully appears and the Inactive tag goes away. If your clinic's plan has no room for another learner, reactivation is refused with a message in English that names the limit. Ask your org owner about the plan.
Org owners can also reactivate a learner from the list, with the icon on an inactive learner's row.
What happens next
- While a learner is inactive, their aides no longer see them in the web or mobile app, and their parents no longer see them in the parent portal, on the web or in the mobile app. Their care team, parent links and plans stay in place and come back on reactivation.
- While a learner is inactive, ABACare sends no authorization warnings for them and they leave the Authorizations overview. Both come back when you reactivate the learner.
- Deactivating does not cancel upcoming sessions. Cancel them yourself: see Cancel, mark no-show or delete a session.
- You can still open an inactive learner's page and edit their profile.
- Nobody is notified, and no history of the change is kept.
