Set auto-complete and editing of submitted sessions
Decide how long a submitted session waits for its BCBA before ABACare completes it, and whether aides can still correct their data after they submit.
When an aide submits a session, it waits in Submitted until a BCBA reviews and completes it. Two clinic settings shape that wait. The first completes a session automatically when nobody has done so after a number of days, so no session stays open for good. The second lets aides correct their own data while the session waits. Both apply to every session of your clinic.
Before you start
- Only org owners see these settings, and only in the web app. Both are in the Authorizations card of Settings > Organization.
- Completing a session locks its data. Agree on the review time with your BCBAs before you shorten it.
Set when submitted sessions complete automatically
- Open Settings > Organization.
- In the Authorizations card, find Auto-complete Submitted Sessions After (Days). New clinics start at 2.
- Type a number from 0 to 30, or use the arrows. A higher number becomes 30.
- Select Save next to the field. Nothing is saved until you do, and leaving the page first drops the change without a warning.
The message Auto-complete threshold updated appears. If saving fails, Failed to update auto-complete threshold appears and the field goes back to the saved number.
How the number works:
- From 1 to 30: ABACare checks once a night and completes each Submitted session submitted at least that many days earlier. A session can therefore wait up to almost a day longer than the number.
- At 0: a session is completed about an hour after it is submitted. The hour leaves time for last corrections and for the AI session notes.
- Lowering the number takes effect at the next nightly check. Raising it only gives more time to sessions not completed yet. A completed session never goes back to Submitted.
- The days count from the session's submitted time. When a BCBA corrects the times of a submitted session, its submitted time becomes the corrected end: see Correct a submitted session's times.
Let aides correct submitted sessions
- In the same card, find RBTs Can Edit Submitted Sessions. The setting calls aides RBTs. It is off for new clinics.
- Turn the switch on or off. It saves at once, with no confirmation.
The message RBT submitted-session editing updated appears. If saving fails, Failed to update RBT submitted-session editing appears and the switch goes back.
When the setting is on, the aide assigned to a session can correct its data in the web app until the session is completed: target data, target notes, photos and videos, behaviors and rewards. Session notes cannot be changed after submitting, and the mobile app always shows a submitted session as read-only. The aide's side is described in Correct a submitted session.
When it is off, a session becomes read-only for the aide as soon as it is submitted. The setting does not apply to BCBAs and org owners, who can correct a submitted session's data either way: see Correct or delete collected session data.
What happens next
- A session completed automatically is treated like one a BCBA completes: its data is locked, ABACare checks each target against its mastery criteria, and aides are told about feedback left on their photos and videos. On the session page, Status History shows Session completed automatically.
- A BCBA can still complete a session before the deadline: see Review and complete a submitted session.
- An aide who already has a session open keeps the previous editing setting until they reload the page.
- Nobody is notified of either change, and no history of it is kept.
