Roles and permissions

The four roles in an ABACare clinic, what each one can see and do, and who decides your role.

Applies toAll roles

Every ABACare account belongs to one clinic and has one role: org owner, BCBA, aide or parent. Your role decides which menus you see, which learners you can open and what you can change. This page explains each role, so you know what to expect and who to ask.

The four roles

Org owner

The org owner runs the clinic's account. In the web app their menu has Team, Learners, Sessions, Supervision, Reports, Authorizations, Library (when the clinic has its own library) and Settings.

  • Invites staff and chooses each person's role.
  • Adds learners and assigns them to a BCBA and to aides.
  • Sets clinic-wide options, such as whether aides can edit a session after they submit it.
  • Manages the subscription and invoices.
  • Approves what goes into the clinic's own library, when the subscription includes one.

BCBA

The BCBA is the clinician responsible for a learner's treatment. Each learner has one BCBA. In the web app their menu has Learners, Sessions, Supervision, Reports and Authorizations, plus the treatment library.

  • Builds and updates treatment plans: goals, targets and how each target is measured.
  • Schedules sessions, reviews submitted sessions and approves them.
  • Invites parents and links them to their child.
  • Supervises aides, reviews what parents log at home, follows authorizations and writes progress reports.

Aide

The aide works directly with learners and records the data. Aides see only the learners assigned to them.

  • Runs sessions in the mobile app: starts the session, records data for each target, tracks behaviors and rewards, adds notes and submits.
  • In the web app, uses Learners, My Availability and My Sessions.

Your clinic can also let you add a behavior, a reward or a target, or activate a target, during a session. These permissions are set for each aide separately. If you miss an option a colleague has, ask your org owner.

Parent

Parents see only their own children.

  • Follow their child's sessions and progress.
  • Practice at home the targets their BCBA shares, and log behaviors.
  • In the web app, use Dashboard, Sessions, Practice at Home and My Data History. In the mobile app, start from My Children.

Who sees which learners

  • Org owners see every learner in the clinic.
  • BCBAs see the learners assigned to them.
  • Aides see only the active learners assigned to them.
  • Parents see only their own children.

Nobody outside your clinic sees your clinic's data.

Who decides your role

Your role is set when you are invited. The org owner invites staff, and the org owner or a BCBA invites parents. You cannot change your own role. If your role looks wrong, or you need a permission you do not have, ask your org owner.
