Manage a learner's diagnoses

Record a learner's diagnoses with their start and end dates, correct them, and remove one that was entered by mistake.

Applies toBCBAOrg Owner

A learner's diagnoses give everyone on the care team the clinical background: what was diagnosed, since when, and whether it still applies. You keep them on the learner's Diagnostics tab. Each diagnosis has a name, an optional description, a start date, an optional end date and notes. ABACare also uses them as background when it drafts AI session notes and progress reports.

Before you start

  • You work in the web app. The mobile app has no diagnoses screen.
  • Open Learners, select the learner and open the Diagnostics tab. Aides can open the tab but only read it.

Add a diagnosis

  1. Select the plus icon at the top right of the Diagnostics card (Add Diagnostic). With no diagnoses yet, you can also select Add First Diagnostic.
  2. In Diagnostic Name, type the diagnosis. When ABACare's list of diagnoses has matches, they appear as you type; pick one to fill in the name and the description, or keep what you typed.
  3. Add a Description if you want.
  4. Pick the Start Date. It is required.
  5. Pick an End Date (Optional) only if the diagnosis no longer applies. Leave it empty while it is ongoing.
  6. Add Notes if you need them, and select Save.

The window closes and the table reloads. If the name or the start date is missing, the field is marked red and nothing is saved. The Save button shows no progress while it saves, so select it only once: a second click adds the diagnosis twice.

Read the table

The table lists each Diagnostic with its description, the Start Date and the End Date, newest start first. A diagnosis with no end date shows Ongoing.

Dates are not always saved as picked:

  • In clinics east of UTC, such as in Spain or Romania, every date you save is stored one day before the date you picked. Pick the day after the one you mean.
  • In clinics west of UTC, such as in the Americas, the date is stored as picked, but the table shows it one day earlier.

Some windows and messages of this tab show untranslated text: the title of the edit and delete windows, the message for a missing name and the confirmation after saving or removing can appear as internal codes instead of words.

Edit a diagnosis

  1. Select the pencil icon on the diagnosis's row. The same window opens, filled in.
  2. Change what you need and select Save.

Emptying the description, the end date or the notes does not clear them: the old text or date stays. To clear one of them, delete the diagnosis and add it again.

Remove a diagnosis

  1. Select the bin icon on the row.
  2. The window asks Are you sure you want to remove this diagnostic from the learner? Its buttons show Yes and No in English. Select Yes.

The diagnosis is deleted for good, with no history kept.

What happens next

  • Other BCBAs and org owners see the change the next time they open the tab. Nobody is notified.
  • AI session notes and progress reports drafted from now on use the updated diagnoses.
  • The diagnosis name is saved as it appears when you pick it. It does not change if the app language changes later.
