Assign a BCBA to a learner

Choose the one BCBA who supervises a learner, hand the learner over to another BCBA, or remove the assignment.

Applies toOrg Owner

Each learner has one BCBA, who designs and steers their treatment. The assignment puts the learner in that BCBA's caseload: their Learners list and their dashboard, where the learner's submitted sessions wait for review. It also lets that BCBA manage the learner's authorizations, review what the parents log at home and run the learner's reports. You choose the BCBA on the learner's page, and you can hand the learner over to another BCBA at any time.

Before you start

  • You work in the web app. Only the org owner assigns the BCBA; BCBAs and aides see the Assigned BCBA card read only.
  • Open Learners, select the eye icon (View Details) on the learner's row and stay on the Basic Info tab. Selecting the row itself opens nothing.
  • Only active BCBAs can be picked. A BCBA who has not accepted their invitation yet is not in the list: see Invite a staff member.

Assign or change the BCBA

  1. In the Assigned BCBA card, open Select a BCBA. It lists the clinic's active BCBAs by name. When the learner already has a BCBA, that BCBA is preselected.
  2. Pick the BCBA.
  3. Select Assign BCBA. The button stays greyed out until you pick a BCBA other than the current one.

The message BCBA assigned successfully appears and the card shows the BCBA's name and email. Assigning a new BCBA replaces the previous one; a learner never has two.

Remove the BCBA

Select Unassign BCBA under the BCBA's name in the card. There is no confirmation: the message BCBA unassigned successfully appears and the card reads No BCBA assigned. The clear button (x) in Select a BCBA only empties the list; it does not remove the BCBA.

What happens next

  • The learner appears in the new BCBA's Learners list and dashboard the next time they load. The previous BCBA no longer has the learner in their caseload.
  • Open work moves with the learner: sessions waiting for review show on the new BCBA's dashboard, and the new BCBA now manages the learner's authorizations, parent data and reports. There is no hand-off note, so tell both BCBAs when you hand a learner over.
  • Nobody is notified of the change, and no history of earlier BCBAs is kept.
  • The BCBA column of Learners shows each learner's BCBA, or Unassigned.
  • An inactive learner can be given a BCBA too. The BCBA sees them in Learners only with Include inactive ticked, and on their dashboard once the learner is reactivated.
  • If you deactivate a BCBA's account, their learners keep them as BCBA: the card still shows them and Select a BCBA shows its placeholder. Assign another BCBA to each of those learners: see Manage team members.
