Correct a submitted session's times
Fix the recorded start and end of a session an aide submitted, before you complete it, so the session and the authorization hours match what really happened.
An aide confirms a session's real start and end when they submit it, but the times can still be wrong: they started the session late in the app, or forgot to submit until hours later. Before you complete the session, you can correct its recorded times. The correction changes the actual times, not the scheduled ones, and the learner's authorization hours are recounted from it.
Before you start
- The session must be Submitted. Once it is Completed, its times can no longer be changed, so correct them before you review and complete the session.
- You correct times in the web app, from the session page. Edit Session in the calendar menu cannot save a correction for a submitted session.
Correct the times
Open the submitted session from Review & Sign Off on your Dashboard, from Sessions or from the calendar.
- Select Edit times at the top of the page. Edit session times opens with the recorded date, start time and end time.
- Change the date, the start time or the end time. Start and end share one date.
- Select Save. There is no extra confirmation.
The message Session updated successfully appears and the page reloads. Select Cancel to close the window without saving.
Messages you may see
- Choose a date. or Choose both a start and an end time.: a field is empty.
- Start time must be before end time.
- Session must be at least 15 minutes or Session cannot exceed 12 hours.
- Session times can be at most 24 hours in the future: the date or times are too far ahead.
- Cannot update submitted or completed sessions: the session was completed while the page was open, by another person or automatically. Reload the page: the times are now locked.
A session that ran past midnight cannot be entered, because start and end share one date. Times are in your computer's time zone.
What happens next
- The Actual time and the Actual duration on the session page show the new window. The submitted time shown on the page also changes: it becomes the corrected end, not the moment the aide submitted.
- The calendar and the sessions list show the corrected window when Show actual times is on.
- The learner's authorization hours are recounted from the corrected window, unless your clinic counts hours from scheduled times.
- The scheduled times and any recurring series stay as they were.
- Your clinic completes submitted sessions automatically after a set number of days, counted from the submitted time. ABACare checks once a day, so moving the end much earlier can make the session complete at the next check. With the setting at 0 days, a session is completed about an hour after it is submitted.
