Change the subscription plan

Move your clinic to a higher or a lower plan, switch to annual billing or go back to the Free plan, and what each change does to your limits and invoices.

Applies toOrg Owner

Your clinic's plan decides how many BCBAs, aides and learners you can have, how much storage and how many AI credits a month you get, whether you can pay as you go beyond those limits, and whether your clinic has its own library. You change the plan yourself on the billing page. A move to a higher plan is paid by bank transfer against an invoice. A move to a lower plan applies at once.

Before you start

  • You work in the web app, as the org owner. Open Settings > Billing. The mobile app has no billing screens.
  • To move to a paid plan, save your billing details first: see Manage billing details and invoices. Without them, the message Billing Details Required appears and nothing opens.
  • While an upgrade invoice waits for payment, you cannot change the plan: the plans are hidden until it is paid.
  • If your clinic has a plan with custom pricing arranged with ABACare, the plans have no buttons. To change it, use Contact Us on the custom-pricing card, which opens an email to ABACare.

Compare the plans

At the top of the page, Current Plan shows your plan, its price and how much of each limit you use. The plans are listed further down, under Manage Your Plan, or Compare Plans while you are on the Free plan. Each card lists what the plan includes, and your plan's card is marked Current Plan. The limits and prices depend on the plan, so check them on the cards.

Pick Monthly or Annual above the cards to see the prices for that billing interval. Once your clinic pays annually, Monthly is greyed out: you cannot go back to monthly billing.

The Manage Your Plan section of the billing page, with the Monthly and Annual choice above the plan cards and the current plan marked
Compare the plans on the billing page.

The last card has custom pricing, for larger organizations. Contact Us opens an email to ABACare.

If the paid plans read Paid Plans Coming Soon and their buttons are greyed out, paid plans are not open yet. You can still go back to the Free plan.

Move to a higher plan

  1. Select Upgrade on the card of the plan you want. To keep your plan and pay annually instead, pick Annual and select Switch to annual on your plan's card. On the Free plan, Upgrade plan on the Current Plan card opens the first paid plan, billed monthly.
  2. The window shows the plan, its price and what it includes, then a summary: Subtotal, a credit for the unused days of your current paid plan when there are any, Tax based on your billing country, and Estimated Total.
  3. Under Enable Overage Billing, turn the switch on if you want to allow usage beyond the plan's limits for an extra charge. It starts off.
  4. Select Confirm Upgrade, or Switch to annual for an annual switch. Cancel closes the window without changes.

Check the summary before you confirm.

The window then shows Upgrade Request Submitted!, a message in English, the invoice number and Payment Required. View Invoice opens the invoice as a PDF in a new tab and closes the window.

Move to a lower plan or back to Free

  1. Select Downgrade on the card of a lower plan, or Cancel Subscription on the Free plan's card.
  2. ABACare first checks that what your clinic uses fits the new plan (Validating your current usage...):
    • If it fits, the window warns you and lists the new limits, under New Plan Limits or Free Plan Limits.
    • If it does not fit, Cannot Change Plan lists, in English, each limit you are over, for example more BCBAs than the plan allows. Select Close, reduce what you use, for example by deactivating learners or cancelling invitations that were never accepted, and try again. Deactivating a team member who joined through an invitation does not help for long: ABACare's weekly usage recount counts them again.
  3. Select Confirm Downgrade or Confirm Cancellation. Cancel closes the window without changes.

A change is refused while you use more than the new plan allows.

The window shows Plan Downgraded Successfully or Subscription Cancelled, with a message in English. Select Close.

What happens next

  • After an upgrade, the new plan and its limits apply at once, before you pay. Pending Payment shows next to your plan, and Invoice Pending Payment at the top of the page shows the invoice. No email is sent for it. Pay it by bank transfer by its due date: see Pay an invoice and restore access.
  • Until that invoice is paid, the plans stay hidden and your clinic's own library is unavailable, even when your previous plan included it.
  • After a downgrade or a cancellation, the new plan applies at once. There is no invoice, and no refund or credit for the rest of the period you paid for. Your data is kept, but you lose what the new plan does not include.
  • Every plan change turns pay-as-you-go off, unless you switched Enable Overage Billing on in the upgrade window. You can turn it back on at any time: see Manage billing details and invoices.
  • An annual plan is invoiced once for the year. Pay-as-you-go usage is still invoiced every month.
  • Other pages can take a few minutes to show the new plan. Reload the page if a menu or limit still looks old.
